Executive Assistant

We are looking for a self-starter who is passionate about our mission to create mental health wellness in communities and has the skills and willingness to provide administrative support and coordinate myriad projects and initiatives as an executive assistant to one of our co-founders.

The ideal candidate has strong initiative and follow-through, has excellent organizational, communication, interpersonal, problem solving and computer skills, a willingness to learn more and grow, works efficiently, can grasp the big picture, is orderly and detail oriented, has a strong ability to anticipate needs and look ahead, and thrives in a fast-paced, collaborative, team environment.

Cognitive & Behavioral Consultants is a fast-growing mental health center with locations in White Plains and Manhattan. CBC therapists practice cutting edge, evidence-based therapies with the goal of creating positive and enduring change for adults, adolescents, and children, and families. CBC also offers professional trainings and consultation to schools, businesses, and other organizations in order to promote mental health wellness in our school communities, work environments, and neighborhoods, especially in this crucial time of increased need.

You will:

  • Manage an extremely active schedule and calendar of appointments, including making
  • appointments and prioritizing time-sensitive matters
  • Manage and provide administrative assistance for the wide range of Co-Founder day-to-day tasks and both short and long term projects, which includes prioritizing keeping co-founders informed of commitments and responsibilities, assisting and facilitating projects through completion
  • Coordinate schedules and agendas for meetings, sending reminders, prepare and gather correct documentation and information needed for all upcoming meetings and commitments in a timely fashion, take minutes, and create, manage, and follow-up on action items and projects after meetings
  • Manage the Co-Founder’s clinical practice including scheduling, billing and communication with patients
  • Assist co-founder on various internal and external professional roles
  • Represent the co-founder in all forms of oral and written communication (in-person, emails, phone calls, website, social media).This includes communicating professionally, hospitably and discreetly on behalf of Co-Founder with staff, vendors, patients, and consumers and professionals outside the organization, prioritizing emails, writing and editing emails, drafting memos, and preparing communication on behalf of co-founder
  • Assist Co-Founder in managing the practice and other professional roles in which they serve
  • Work closely with other admin staff members to facilitate communications and operations of the practice
  • Coordinate travel, planning ahead and preparing for projects, meetings, conferences, and other trips including detailed itineraries, preparation, travel, and support
  • Assist with creating uniform and aesthetic materials for presentations, publications and
  • social media platforms
  • Maintain organized, comprehensive, and accurate files and folders
  • Perform minor accounting duties

Qualifications

  • A minimum of 3+ years of experience as an administrative or executive assistant
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to order and detail
  • Excellent written and verbal communication skills
  • Very strong interpersonal skills and ability to build professional relationships with staff members, vendors, patients, and other professionals
  • Hospitable, welcoming, and collegial manner
  • Has strong initiative, follow-through, and work-ethic
  • Strong problem-solving abilities and demonstrates proactive approaches to problem-solving with strong decision-making capability and ability to think ahead
  • Highly resourceful team-player with the ability to also be extremely effective independently
  • Outstanding organizational and time management skills
  • Highly proficient in Microsoft Office, Google, and Apple platforms
  • Comfort and/or proficiency in minor technical and design skills (adding content to website, Canva, powerpoint, social media) or ability to learn
  • Project Coordination skills are a plus
  • Ability to multitask and prioritize daily workload
  • Positive, team-oriented attitude
